Important Information for 2024

Below you will find a summary of key changes for 2024 that will impact you as an Exhibitor or Contractor, but please make sure to read the whole manual for full details. The manual provides both recommendations and mandatory rules.

  • NEW for 2024 – Stand Build Wasteto help reduce the overall waste at ILTM Cannes this year we will be working with GreenBee Event Upcycling Team to help manage and remind contractors of their responsibilities for waste management during the build up and breakdown periods of the event. Please be aware that:
    • Each stand contractor is and remains responsible for their own waste.
    • During set-up, please help to sort your cardboard/wood waste and take it to the collection points. Please click here for plan showing the location of the collection points. We also encourage you to limit the quantity of waste in general.
    • During dismantling all waste must be removed from site by the stand contractor, no sorting will be provided during this time. However, if you require a waste removal service, the Palais provides a waste wood recycling service. It is for all wood types (OSB, MDF, laminate panels, raw timber slats etc).  Please contact the venue directly before the show.  Only wood waste is accepted. 
  • Exhibition Timetable – Provides information of the build up, show open and breakdown dates and times.
  • Badges & Passes    
    •  ILTM Cannes 2024 is pre-registration only. All attendees need to pre-register online prior to arrival.
    • All stand personnel required on the stand during the event days, including stand-by contractors, catering and hostess staff must be allocated a badge through the exhibitor portal and will come out of the exhibitor badge allocation.
    • Contractors are now required to register in advance for access during build and breakdown for contact tracing purposes.
  • Sustainability - Our Exhibitor Environmental Checklist is now available and has useful tips to lower your environmental footprint whilst you are exhibiting with us.
  • Stand Build Regulations
    • The space only stand plan deadline is on 11 October 2024.

  • Your Tasks & Order Deadlines - A list of all the order forms and deadlines dates to help you complete these in a timely manner.
  • Logistics, Lifting & Delivery 
    • We recommend using our Official Logistics Supplier for all of your delivery, lifting and storage needs.
    • Consider taking advantage of advance warehousing to avoid delays onsite.
    • Consider staggering deliveries so that items such as furniture, floral are delivered later in the build up. 
    • If you are shipping from the UK, please keep in mind changes following Brexit.

  • Venue & General Information – Detailed information on the venue including the address and other specific details you may find useful.
  • Exhibitor Catering
    • The venue regulations state that all food and drink that is to be consumed on or given away from your stand must be purchased from one fo the Official Exhibition Caterers. It is a compulsory requirement to complete a catering declaration form, please click here for a copy of the form.

It has come to our attention that our customers are increasingly being targeted by companies claiming to supply exhibitor/visitor/participant lists and details relating to our events and products at a cost.  Be vigilant – this data is likely fraudulent.  If you receive any such unsolicited offers, please do not respond unless you have checked with us first.

Exhibition Timetable

*If you are working onsite during the build up and breakdown periods you will be expected to wear appropriate Personal Protective Equipment. You will be checked by security as you enter the venue to ensure you have a high visibility vest and suitable footwear (no opened toed shoes or heels).

All stand-fitting & construction must be completed by 2000hrs on 2 December. Only stand dressing should take place after 1200hrs (midday) on Monday, 2 December.

Aisle carpet will begin being laid on 2 December at 1400hrs so all aisles must be clear of debris and pallets & crates should be removed from the hall by 1300hrs.

Late working is not permitted at ILTM Cannes.

Reminders:

  • Late working is not permitted during build up and breakdown and all standfitting needs to be done within the Exhibition Timetable. 
  • Stands should be manned and operational until 1700 hrs on Thursday 5 December. Exhibit material and equipment cannot be removed from the exhibition before this time.
  • Luxury Shell & Pavilion Stands will be dismantled and furniture collected from 2000hrs on Thursday 5 December. Therefore please ensure that all exhibits and valuables have been removed before this time.
  • Contractors and trolleys will not be permitted to enter the halls until it is clear of visitors, which we anticipate will be 1 hour after the exhibition closes.
  • All materials, packaging and waste must be removed from the halls and stand dismantling complete by 1400 hrs on Friday 6 December. Any waste or materials left for the Organisers disposal will be charged back to the exhibitor/contractor.
  • Official Stand fitting and electrical contractors will be permitted to enter the halls from 1800 hrs on Thursday 5 December. The electrical supply to your stand will be terminated at 1730 hrs. Catering equipment, furniture, flowers etc which have been hired remain the responsibility of the exhibitor until such times as they are returned to the source from which they were obtained. Please ensure that all cupboards are emptied.
  • Any exhibitor leaving small exhibits and personal effects at the close of the show should make arrangements via the organisers office onsite for their overnight safe keeping.
  • Contractors and exhibitors leaving exhibit materials or stand fittings unattended in the hall following closure of the show do so at their own risk.

Important

All stand fitting waste must be removed from site during build up and breakdown contractors and/or exhibitors are responsible for the removal of their waste and will be charged for any costs involved in the waste removal of items left onsite.

Badges & Passes

Exhibiting Delegate Badges

Anyone staffing a stand at ILTM 2024 will need their own Exhibiting Delegate badge. This badge grants access to the venue during build up and breakdown as well as the show on appointment days and ILTM networking events. Your main stand holder (MSH) can purchase Exhibiting Delegate badges through the Badge Portal once it becomes available. Please note that ILTM uses photo badging, so you will be required to submit a passport-style headshot to obtain a badge.

 

Contractor Badges 

Contractor passes are required by any personnel that will be entering the exhibition during the build up and breakdown and must be displayed at all times whilst onsite.

PLEASE NOTE THESE PASSES WILL ONLY BE VALID FOR THE BUILD UP AND BREAKDOWN PERIODS.

 

Maintenance Badges 

Contractor Passes - Show Open 

Each exhibiting company will have an allocation of TWO Show Open contractor badges free of charge. Please click here to complete the badge request form with the names of personnel that will require access during show open. If additional badges are required outside of the free allocation, you will be charged €100 for each additional badge.

No maintenance on stands should be carried out during the open period without the organiser’s permission.  If you are found to be working on stands during this time then you will be asked to leave site and your badge will be confiscated.

Business attire must be worn during show open periods; you will be required to remain in a void area if clothing is not deemed acceptable.  Seating areas and cafes are for ILTM Cannes Delegates only.  Any contractors who disregard this will be asked to leave site and their badge will be confiscated. 

Sustainability

ILTM Cannes is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers and contractors to reduce the impact our activities have on the environment.

RX has signed up to the Net Zero Carbon Events pledge with the aim of achieving zero emissions by 2040. To help us reach our goal we have produced a sustainability charter, guided by the UN Sustainable Development Goals which will direct our considerations as to the ways in which our events are organised.

With the charter in mind we have created an Exhibitor Sustainability Checklist which you can utilise in the planning of your participation at ILTM Cannes 2024.
